POSITION SUMMARY:

The Scheduler/Dispatcher manages the work schedules and daily routes for all of our field technicians in all trades. As work orders and construction labor requests arrive, the Scheduler/Dispatcher will review available resources including technicians, trucks, and equiptrument, and then dispatches technicians to address the client needs and complete the repair. Throughout the day as new work orders arrive, the Scheduler/Dispatcher will continuously update the schedule and redeploy resources as necessary to meet the changing operational needs.

The Scheduler/Dispatcher will use their knowledge of the Southern California region, city locations, driving times and distances, freeway conditions and traffic patterns, and other geo spatial knowledge and experience, to set the best routes for each technician to maximize their productivity while minimizing travel time, down time and overtime costs.

This is a highly collaborative position. The Scheduler/Dispatcher works closely with Operations Supervisors, Administrative Assistants, Warehouse Manager, Safety Manager, and Operations Manager.

The Scheduler/Dispatcher works from our Fullerton office during office hours. The Scheduler/Dispatcher will also be available to answer after-hours phone calls as needed. The Scheduler/Dispatcher reports directly to the Chief of Staff.

BASIC JOB RESPONSIBILITIES:

  • Maintain highest levels of internal and external confidentiality.
  • Provides work direction to field technicians in the handling of routine and emergency situations to assure department procedures are followed and work standards are maintained.
  • Monitors and documents the amount of time field technician spend on work assignment.
  • Assigns individual goals and objectives and monitors to ensure completion.
  • Prepares and presents field technician efficiency and productivity evaluations.
  • Develops and designs work schedules and technician service routes, maintaining set minimum productivity levels.
  • Utilize scheduling software and truck GPS status board.
  • Prepares labor records and logs.
  • Decides and manages expenditures of overtime in coordination with Supervisors.
  • Manages to project deadlines.
  • Assists with coordinating equipment utilization.
  • Works as a member of a team in a fast paced setting.
  • Establish and maintain systems to organize and manage details to ensure accuracy in all aspects.
  • Relies on experience and judgment to plan and accomplish goals.

BASIC JOB REQUIREMENTS:

  • High School or equivalent experience and education.
  • 5 years of work experience gained in a professional services environment.
  • Highly knowledgeable with Southern California geography.

  • Strong customer service orientation; responds to customers’ needs with a sense of urgency, and with a “How can I help” mindset.
  • Ability to exercise judgment in managing confidential or sensitive information
  • Ability to handle diverse personalities.
  • Knowledge and experience in construction or facilities maintenance a plus.
  • Able to work beyond normal office hours (sometimes weekends) during peak periods.
  • Good typing skills with intermediate skills in Microsoft Office, especially in Excel and Word.
  • Must demonstrate strong organizational and project management abilities, attention to detail, as well as solid problem-resolution, decision-making, verbal and written communication skills.
  • Resourceful to work effectively in an entrepreneurial environment that requires one to adapt to unexpected, urgent situations outside one’s knowledge base and to problem-solve quickly under pressure while maintaining focus and composure.
  • Communicate with customers and senior management and have the confidence and ability to express themselves concisely and effectively.
  • Ability to work independently with minimal supervision and direct others for results as needed. Requires minimum 5 years demonstrated people management work experience.
